1. Clear request or follow-up#
Purpose: Ask for an action while making timing and context easy to understand.

2. Respectful refusal or boundary#
Purpose: Decline a request without creating a false promise.

Why the structure matters#
Work email quality depends on relationship, authority, timing, and what can safely be promised. These prompts make those constraints visible and require the model to distinguish confirmed facts from unknowns.
Weak prompt and what it misses#
Write a very professional email telling my coworker to fix the problem immediately.The prompt hides the relationship, facts, ownership, and real urgency. It can produce an aggressive or overly formal message and may invent blame. A safer prompt states the requested action, deadline, known facts, and boundaries.
Human review checklist#
- Remove confidential names, account data, and internal identifiers before using an external AI.
- Verify every deadline, commitment, and reference to a previous conversation.
- Read the message aloud for unintended blame or passive aggression.
- Make the requested action and response deadline unambiguous.
- Confirm that the subject line accurately reflects the message.
Testing and maintenance#
- Use original, non-sensitive sample values when testing a prompt.
- Retest examples after material changes to the prompt, page, or AI product.
- Check factual preservation, requested format, missing-data behavior, and task-specific risks.
